How we work

Measure first. Build to spec. Hand it all over.

Four stages. Each one has a fixed price, a clear deliverable and a point where you can stop and keep everything you've paid for. No open-ended discovery, no hourly meter, no system that only we can run.

Map the process before anything is built

Most software projects go wrong before the first line of code: the team builds what was described in a meeting, not what actually happens on site or in the office. So we start where the work happens. We follow one core process from the first request to the invoice, identify where bottlenecks and errors get in, and draw the system that fixes it. Your team clicks through it before you commit a build budget.

What you receive
  • Workflow bottleneck mapping: analysis of every manual step, handoff, and error point
  • Clickable core-flow prototype (5–6 screens)
  • Written build specification: screens, business rules, user roles, and integration scope
  • Fixed-price build quote: transparent milestones and locked price (valid for 60 days)
What we need from you
  • One process owner who can make operational decisions
  • About 3 hours: a 30-min kickoff, two 45-min interviews and a 45-min walkthrough
  • Read-only access or screenshots of the tools you use today
  • Bring 5–10 real examples — past quotes, orders or claims (sensitive customer details blacked out)
Decision point: You can stop here. Yours to keep, whoever builds it — with us, in-house or with another team. If the audit shows you don't need custom software, we'll say so and write down what to do instead.
Stage 02 · fixed price · 2–4 weeks (one workflow) · 6–12 weeks (full system)

Build to the agreed spec, in steps you can see

The work is split into milestones of one to two weeks. Each one ends with a demo on a staging environment, using your sample data. Nothing reaches your team until you've seen it work.

What you receive
  • A working staging version from the very first milestone
  • Live working demos every 1–2 weeks with fast async feedback loops to keep your launch date on track.
  • Access to the code repository in GitHub from day one
  • A written changelog of what was built, what changed and what comes next
What we need from you
  • Fast async feedback loops on working demos to keep your launch date on track
  • One designated person with authority to sign off on milestones
Payment terms: Audit: 100% upfront. AI Workflow and Micro-System: 50% at kickoff, 50% at launch. Custom CRM: 30% at kickoff, 40% at the midpoint demo, 30% at launch.
When something changes: New ideas mid-build are welcome. Changes are priced in writing before any work on them starts, and added only after you approve them. Delivery dates assume reviews on time: if a review waits, the date moves by the same number of days, and we confirm the new date in writing.
Typical stack:LaravelPostgreSQLVue 3 / NuxtTypeScriptDockerPython for AI document pipelines

Launch next to the old process, then switch

We don't switch your team over on a Friday and hope. For one to two weeks, the new system runs alongside your current spreadsheets on real work, and you compare the results. The switch happens when the numbers match, or when every difference is explained.

01

Production deployment

Deployed into your cloud or server account: Hetzner, DigitalOcean, AWS or your own server with no markup.

02

Reconciled data migration

Record counts and historical totals are checked against the source files before go-live.

03

Recorded role training

Step-by-step video walkthroughs recorded for each operational role on your team.

04

Architecture documentation

Clear runbooks on how to run, back up, restore and update the system without us.

05

Full IP ownership

The code lives in your repository from day one. Full rights to everything we write for you transfer on final payment. Open-source components keep their own licenses.

06

30-day defect warranty

For 30 days after launch, anything that doesn't work as the agreed spec says is fixed at no cost.

*The 30-day warranty covers defects against the agreed spec. New features and changes caused by outside third-party services after launch are handled in Stage 04 or quoted separately.

Stage 04 · optional · monthly · cancel with 30 days' notice

Keep it healthy as your business changes

Zero software license lock-in: your system runs autonomously on your cloud server with no mandatory fees to us. Optional Care plans cover external 3rd-party API/webhook changes, server maintenance, and iterative updates for teams without in-house DevOps. Care — $500/month, up to 8 hours. Growth — $1,500/month, up to 18 hours. Response within 1 business day. Cancel with 30 days' notice.

Engineering standards

Built so a wrong entry doesn't get through

In manufacturing it's called poka-yoke (mistake-proofing): design the process so a mistake can't pass to the next step. We build software the same way.

Invalid input is stopped where it's entered

Required fields, allowed ranges and impossible combinations are checked by the form and again by the database.

Approval steps can't be skipped

A quote above a set amount or below a set margin can't be sent until the right person signs off.

Financial history is never overwritten

Payments, refunds and price changes are saved as new entries. Corrections are added, not typed over, and every change shows who made it and when.

Calculations are tested against known answers

Formulas run against a set of reference cases on every change, so an update can't quietly shift your numbers.

AI reads, code calculates

Where AI is used, it turns messy documents into structured data. Prices, quantities and totals are calculated by tested code, and anything outside limits goes to a person for review.

Every change goes through staging first

Your team sees and tests every change before your customers or field personnel do.

Backups are restored, not just taken

Before launch, we restore the system from a backup to prove that recovery works without manual guesswork.

Principles

Four things we don't compromise on

How we protect your budget, timeline and operational autonomy at every milestone.

Fixed scope, fixed price

Every build has a written spec, a price and milestone dates agreed before work starts. Changes are priced in writing before any work on them starts. The only hourly work is the optional care plan, and it's capped.

You work with the people who build it

Your system is designed and built by two founders — Anton Horbenko (architecture, data model and back end) and Olha Yevtushenko (product design and interfaces) — plus one senior developer when parallel speed is needed, introduced to you before work begins. No account managers or silent handoffs.

You own what you pay for

The code lives in your repository from day one. Full rights to everything we write for you transfer on final payment. Open-source components keep their own licenses. No per-seat fees for software we built for you.

We'll tell you when not to build

If a spreadsheet, an off-the-shelf tool or a simple automation solves the problem, that's our recommendation, in writing. Every feature in the spec has a reason you can measure: hours saved, errors removed or revenue unlocked.

Failure modes

What could go wrong — and what's already planned for it

Before a part goes into production, engineers list every way it can fail and how each failure is prevented (FMEA). We do the same for every software project.

Risk

The system doesn't fit how your team actually works

Prevention

Your team clicks through the prototype during the audit, sees a demo every 1–2 weeks, and runs the system next to the old process before switching.

Risk

Scope keeps growing

Prevention

Changes are priced in writing before any work on them starts, and added only with your approval.

Risk

A deadline slips

Prevention

You hear about it as soon as we see it, with the reason and a new date. You only pay for agreed milestones.

Risk

One of us is unavailable

Prevention

Your system doesn't live with us: code, documentation and access are in your accounts from day one, with a runbook any developer who knows our standard stack can follow.

Risk

Data is lost or garbled in the move

Prevention

Migrated data is reconciled against the source — record counts and totals — and a restore from backup is tested before launch.

Risk

An AI model or integration changes

Prevention

AI steps sit behind validation and human review. Before any model switch, we re-run your test sample to confirm results hold.

Risk

You want to work with someone else

Prevention

Code in your repository, the system in your accounts, documentation written for the next team. No license, no lock-in.

Small team, on purpose

A small senior team. That's the point.

Direct communication, fast architectural decisions, and no layers of management between your questions and production code.

The person on the call writes the code

The engineer who designs your system writes and reviews its code. Questions are answered by the engineer who knows the answer, within 1 business day. Nothing gets lost between a sales call and a developer.

AI-accelerated, architect-reviewed

We use AI coding tools to generate boilerplate, migrations, and automated test suites at agency speed while keeping 100% of relational data modeling, calculation logic, and code review in senior hands. Your private data is never pasted into consumer AI tools.
